How to add new round in Talent snapshot

Only users with administration rights will be able to add new round in Talent snapshot.

To start a new Talent snapshot round:

  1. Select Admin Settings > Talent Snapshots: Configure, create, and send out Talent Snapshots and templates to help review employee performance and talent.
  2. Select "Create Round" from the Add drop down
  1. Fill up all the details in the "Round Details."

Snapshot round*: Write the name of the round as you want to it to be displayed to users.

Snapshot Template*: Will allow you to load a predesigned template which will pre-populate the questions in the round.

Snapshot Description*: Write the description to provide guidance to your users. This description can include formatting and links, and will be available to users throughout the time they complete the round.

Deadline Date*: Select a deadline by when you want your team to submit the round.

Schedule Round For Later: You can enable the schedule button to schedule the round.

Employee Sharing Options: Answers sharing can be selected to automatically share answers with employees when the round is complete.

  1. Select "Next" when the mandatory data has been populated.
  2. In the second step: Choose which Participants to Exclude or Include, you can select add or remove whole org units in one go, or specify individual users.

When you are happy with your lists of included and excluded users, click on "Next."

  1. In the third step, "Review" you will find the preview of the all the question which will be included in the round.
  2. Select "Next." when you're happy with the content of the round.
  3. In the forth step, you can see a preview of the emails which will be sent to employee and managers. You can select Edit email content to update the emails as required.
  4. Select "Save and launch" to send the talent snapshot to your users.

Sharing options

As an admin you can share by individual where the manager has completed the talent snapshot before the round is closed. As best practice we would advise the admin closes the round first and then share all / share by individual if they would like employees to see manager responses. The reason for this is to ensure these are the managers final submitted responses before being shared.

An email will be sent to the employee once shared alerting them that the admin has shared the relevant talent snapshot responses from their manager with them.

Select “Status and sharing” from the existing round from the list.

The Share All button will complete the following if the talent snapshot has not already been shared with the employee:

· Share all completed and submitted talent snapshot responses from managers.

· Share saved talent snapshot responses from managers where responses have been entered for all mandatory questions. In this instance mandatory and non-mandatory saved responses will be shared.

· Talent snapshot responses will not be shared if responses are missing for all mandatory question. These will show as "Incomplete" on the response-sharing employee list page.

· If the talent snapshot template has no mandatory questions, all talent snapshot responses will be shared whether these there are saved or submitted by the manager. These will show as "complete" on the response-sharing employee list page as there are no mandatory questions
